Who we are

SuperStars Caricatures creates personalised caricature artwork and printed gifts from photographs supplied by customers. Dawn Hauxwell, trading as SuperStars Caricatures, is the controller of the personal information described in this policy.

Information we collect

• Customer contact information, such as name, email address, telephone number and delivery address.
• Order and payment records. Card details should be handled by the chosen secure payment provider and not stored by SuperStars Caricatures.
• Photographs, names, ages, design instructions and other information supplied for personalised artwork.
• Messages, complaints, artwork approvals and customer-service records.
• Cookie choices and limited technical information about use of the website, where permitted.

How and why we use information

We use customer and order information to provide quotes, create artwork, fulfil orders, take payment, arrange delivery, respond to questions and provide after-sales support. This processing is normally necessary to take steps at your request or perform our contract with you.

We may retain financial and order records where necessary to meet tax, accounting, consumer-protection or other legal obligations. We may also use limited information for fraud prevention, security, service improvement and the establishment or defence of legal claims where our legitimate interests apply.

We only use photographs or finished artwork for advertising, social media or other promotional activity where separate, explicit permission has been obtained. Marketing messages are only sent where permitted by law, and you can opt out at any time.

Children's information

Orders must be placed by an adult aged 18 or over. Where a photograph or other information relates to a child, the person placing the order must be the child's parent or legal guardian, or must have their permission. We use children's information only to create and fulfil the requested personalised order and related customer support.

We do not knowingly create customer accounts for children or use children's photographs for profiling or targeted advertising.

Who we share information with

Information may be shared only where necessary with trusted service providers involved in operating the website and fulfilling orders, such as secure hosting, cloud storage, email, payment, printing and delivery providers. We may also disclose information where required by law, to protect someone's safety, or to establish or defend legal rights.

Netlify provides the website hosting and processes information submitted through the initial order-request form. That form does not collect photographs or payment-card details. A separate photo-transfer method and hosted payment provider will be identified to you before those steps take place.

Service providers must only use personal information on documented instructions and protect it appropriately. The final list of providers must be reviewed before launch and whenever a provider changes.

International transfers

Some technology providers may process information outside the United Kingdom. Before using such a provider, we will check that an appropriate UK transfer safeguard or other lawful protection is in place and explain relevant transfers in this policy.

How long we keep information

• Uploaded photographs and working artwork files: normally deleted within 90 days after the order is completed, unless a longer period is needed for an active complaint, replacement or legal claim.
• Unsuccessful quote requests: normally deleted within 90 days.
• Order, payment and accounting records: normally kept for up to six years where required for legal, tax and record-keeping purposes.
• Marketing preferences: kept until consent is withdrawn or the record is no longer needed.
• Cookie preferences: normally kept for six months.

These periods must be matched to the business's actual systems and deletion process before launch.

Security

We use appropriate technical and organisational safeguards to protect personal information. These should include HTTPS, restricted staff access, strong authentication, secure storage, safe file-upload controls, backups and procedures for securely deleting images. Payment-card information must be processed through a compliant hosted payment provider.

Your rights

Depending on the circumstances, you may have rights to access, correct or erase personal information, restrict or object to its use, receive a portable copy, and withdraw consent. You can also complain to the Information Commissioner's Office at ico.org.uk.
